Job Title: Office and IT Manager
Reports to: People Operations Manager
Main Role Purpose: We are looking for a skilled Office Manager to join the centralised services team at our state-of-the-art Innovation Campus, home to LineView Solutions and Bytronic Automation. The Office Manager will be managing all office services, utilities, stationery, equipment and security. They will ensure that all legal, H&S and insurance requirements are met, and services are purchased at the most cost‐effective rate possible. The Office Manager will also manage and maintain a range of office & IT procedures to efficiently support the business operations. They will handle the effective management and maintenance of our facilities and offer general support service to our employees and visitors.
Key Responsibilities:
- Manage office & IT budget, ensure accurate and timely reporting
- Plan and implement office systems, layouts, and manage equipment procurement
- Implement and maintain procedures/office administrative systems
- Ensure full compliance with health and safety and fire risk regulations at all times
- Insurance: ensure all legal requirements are met and insurance is purchased in good time and at competitive rates
- Liaise with IT maintenance and other contractors, on incident management and ensure that IT use is in accordance with company guidelines. Ensure that all equipment is maintained and used correctly
- Office and IT Database Admin such as Asset Management, compliance and H&S Certificates
- Ensure that all handling and storage of data is in accordance with GDPR
- Responsible for employee training and associated materials for Office, IT and H&S policies and procedures
- Responsible for the effective day to day running of the office including facilities management and tidiness/cleanliness of the office
- Ensure our customers and visitors have a positive experience when contacting and visiting the office
- Stationery and office supplies management, purchasing at the most cost‐effective rates and consistent with ITF environmental policies
- Manage relationships with vendors & service providers, from contract and price negotiation to ensuring that all items are invoiced and paid on time
- Management of workwear inventory ensuring necessary safety equipment and corporate clothing used
- Supporting internal projects by co-ordinating and administering as required
- Implement and maintain ISO requirements with support of third parties where necessary
- Supporting People Operations Manager in the onboarding and offboarding process
Knowledge, Skills and Experience:
- Excellent organisational and time management skills;
- Good IT skills, including knowledge of a range of software packages;
- The capacity to prioritise tasks and work under pressure to meet deadlines
- Ability to liaise well with others and delegate tasks;
- Strong oral and written communication skills;
- Ability to work on your own initiative

- Problem-solving skills and project management ability
- Experience of developing and administering procedures and systems.
- Experience of setting up and developing databases, gathering data and producing statistical reports in an informative and concise manner
- Good numeracy and literacy skills
- Experience in Health & Safety compliance
